TERMS & CONDITIONS — THE CALM QUEEN

Last updated: August 2026

These Terms & Conditions apply to services, classes, appointments, events and workshops provided by The Calm Queen.

By making a booking with The Calm Queen, you agree to these Terms & Conditions.

SERVICES

The Calm Queen provides wellbeing services which may include Pilates and movement sessions, sound baths and sound relaxation, holistic therapies, workshops, events, retreats and other wellbeing services.

Some services may require completion of a consultation form, health questionnaire or PAR-Q before participation.

You are responsible for providing accurate and relevant information and for informing me of any changes that may affect your ability to participate safely.

The Calm Queen reserves the right to decline or discontinue a service where I believe it may not be appropriate or safe for you.

BOOKINGS AND PAYMENT

Bookings are subject to availability.

The price shown or agreed at the time of booking is the price payable for that service.

Payment may be required in advance to secure your appointment, class, event or workshop place.

A booking is not considered confirmed until any required payment has been received or confirmation has been provided by The Calm Queen.

CANCELLATIONS, TRANSFERS AND REFUNDS

I understand that plans sometimes change.

If you need to cancel or rearrange a booking, please give at least 72 hours' notice.

Where at least 72 hours' notice is provided, you may normally request a refund or transfer your booking to another suitable date, subject to availability.

Bookings cancelled with less than 72 hours' notice are normally non-refundable and non-transferable, as your appointment or place has been reserved specifically for you and may not be possible to fill at short notice.

Where I am able to fill your place from a waiting list, I may offer a transfer at my discretion.

I understand that genuine emergencies and unexpected circumstances happen. These will always be considered individually and with compassion.

Failure to attend a booking without notice will be treated as a late cancellation and will not normally be refunded or transferred.

PILATES CLASSES AND BLOCK BOOKINGS

Where Pilates sessions are purchased as part of a block, your place is reserved for the agreed sessions.

If you cancel a class with at least 72 hours' notice, I will make reasonable efforts to offer an alternative session where space is available.

A class missed or cancelled with less than 72 hours' notice will normally count as one of the sessions within your block.

Block bookings cannot normally be exchanged for cash once the block has commenced.

Any agreed validity or expiry period for a block will be communicated when you book.

EVENTS, SOUND BATHS, WORKSHOPS AND RETREATS

Places at events, sound baths, workshops and retreats may be limited and your place is reserved once your booking is confirmed.

The same 72-hour cancellation policy applies unless different terms are clearly stated for a particular event at the time of booking.

Where an event involves external venues, facilitators, accommodation or other significant advance costs, separate cancellation terms may apply. These will be made clear before you book.

IF THE CALM QUEEN CANCELS

Occasionally I may need to cancel or rearrange a session, class or event because of illness, circumstances beyond my control or insufficient attendance.

If The Calm Queen cancels and an appropriate alternative cannot be arranged, you will be offered a transfer or refund of the amount you paid for the affected booking.

The Calm Queen will not normally be responsible for additional expenses you may have incurred, such as travel or accommodation costs.

HEALTH AND PARTICIPATION

The services provided by The Calm Queen are intended to support general wellbeing and are not a substitute for medical diagnosis, treatment or advice from an appropriately qualified healthcare professional.

You are responsible for informing me of any relevant health conditions, injuries, pregnancy, medication or changes in your health that could affect your participation.

You should seek appropriate medical advice if you are unsure whether a particular activity or service is suitable for you.

During movement-based sessions, you are encouraged to work within your own comfortable range and stop if you experience pain, dizziness, unusual shortness of breath or feel unwell.

ONLINE SESSIONS

Where a service is provided online, you are responsible for ensuring that you have a suitable, private and safe space in which to participate and an adequate internet connection.

For online movement sessions, you are responsible for ensuring that your surroundings are clear of hazards and suitable for exercise.

ARRIVAL AND LATENESS

Please arrive at the agreed time for appointments and allow sufficient time before group sessions or events to settle in.

If you arrive late for an individual appointment, it may still need to finish at the originally scheduled time so that subsequent clients are not affected.

Late arrival at a group session or event may mean that participation is not possible where entering late would be unsafe or significantly disrupt the experience for others.

PERSONAL BELONGINGS

Please take reasonable care of your belongings when attending sessions or events. The Calm Queen cannot accept responsibility for loss or damage to personal belongings except where liability cannot legally be excluded.

BEHAVIOUR AND RESPECT

The Calm Queen aims to provide a welcoming, respectful and safe environment.

Behaviour that is abusive, discriminatory, threatening, inappropriate or significantly disruptive will not be accepted. I reserve the right to end a session or ask somebody to leave where necessary to protect the wellbeing or safety of those present.

RESULTS

Every person is different and individual experiences and outcomes will vary.

No particular physical, therapeutic, emotional or wellbeing outcome can be guaranteed as a result of participating in services provided by The Calm Queen.

PRIVACY

Personal information is handled in accordance with The Calm Queen Privacy Policy.

CHANGES TO THESE TERMS

These Terms & Conditions may be updated from time to time to reflect changes to services, business practices or legal requirements.

The terms applicable to your booking will normally be those made available to you at the time of booking.
